Job Responsibilities

Financial Management and Reporting

The candidate will be required to support CARE’s SAD with the centre’s financial management and reporting including:

  • Assist with the management and development of CARE’s overall and project budgets where necessary
  • Assist with management and tracking of all CARE’s funding and grants
  • Prepare required reporting and submissions to relevant agencies on the funding and grants
  • Assist with the preparation of financial report to CARE’s Advisory Board

 

Administration: To work with the CARE secretariat to ensure the efficient and effective function of CARE’s office

  • Manage all CARE’s procurement and purchases including invoices, liaisons with vendors and follow up payments
  • Provide administrative support for grant applications and post-grant award
  • Assist with follow-up with external partners and internal departments for review of research agreements, service agreements etc
  • Assist in processing research and other staff recruitment and appointments
  • Assist with onboarding of staff, interns, visitors and other CARE associates
  • Maintain CARE’s website including updates on its programmes and other publicity
  • Maintain CARE’s database
  • Maintain proper filing and documentation of all areas of work functions such as agreements, grants, manpower tracking, invoices and payments, grants and publications

 

Event Management: Work with the CARE secretariat to organise all CARE’s events

  • Assist with all aspects of CARE’s events management including pre and post event requirements. Work involves amongst others the following key tasks:
  • Developing and managing events’ related budgets and finances
  • Managing and/or developing publicity materials
  • Publicity and related tasks including publishing necessary publicity materials, liaisons with the relevant on events’ publicity etc
  • Managing events’ logistics including venue, catering, audio visuals etc
  • Managing events’ registration including collating and liaisons with participants
  • Managing events’ evaluations and related reports
Qualifications / Attributes

Competencies

  • Experience with preparations of budget, tracking of fund utilisation, and financial reporting
  • Experience with procurement processes and procedures
  • Experience with management of administrative procedures and processes
  • Minimum 3 years of relevant work experience in finance and administration for Executive and Minimum 6 years of relevant work experience finance and administration for Senior Executive
  • Experience healthcare or education, as well as event planning, would be advantageous.
  • Degree holder preferred; diploma holder with significant experience may be considered
  • Knowledge of relevant softwares ( excel is a must; project management software and photoshop a definite advantage)
