Job Responsibilities: 

One casual staff is required to assist in the requested during September 2018 - March 2019.
Duke-NUS Centre of Regulatory Excellence have launched our graduate certificate programme in August 2018 and will be carrying out registration and admission of our first batch of students. We will require additional support for the administrative processes in the following areas:
 

Graduate Certificate programme

  • Collate applicant data to be reviewed by Application Evaluation Committee
  • Schedule meetings for the Application Evaluation Committee to review applicants
  • Assist to draft letter of offer for all students, obtain signatories and send the letters to students
  • Entry of students’ data into the NUS Student Information System
  • To follow up with students to carry out Registration (Part 1)
  • To follow up with students to ensure payment is received before the start of the semester
  • Assist in the preparation for Orientation day and helping out with logistics and verification of student documents on the day itself
  • Assist students with queries on LMS access
 

Event related

  • Assist to draft the invitation letter (hardcopy and email) to Speakers/Faculty and Participants
  • Email and collate response of nominations from ASEAN countries/Participants
  • Raise Catering Services Request Form and submit to Procurement department to issue PO
  • Liaise with Facilities Planning department on the catering setup place
  • Liaise with caterer to setup the refreshment and lunch
  • Assist in the registration counter and others assign duties in each event/workshop/seminar/conference
  • Coordinate the hotel accommodation for Speakers/Faculty and Participants
  • Coordinate the flights for Speakers/Faculty and Participants
  • Email follow up with Speakers/Faculty and Participants to obtain the required documents for reimbursement
  • Assist in photocopying supporting document, process for payment/reimbursement after each event
 

General Admin

  • Assist in ordering stationery for office use
  • Order A4/A3 papers for office use
  • Order mineral water bottles for office use
  • Assist to order refreshment/lunch for meetings
  • Assist in filing, scanning, photocopying of document
  • Other duties as assigned by management
 

Job Requirements:

  • Min GCE "O" Level and above
  •  Proficient in basic accounting and possess knowledge of finance-related work
  • Resourceful, meticulous, organised and independent to deliver high quality work
  • Confident and comfortable with handing data and figures
  • Able to work in a fast-paced environment and can perform under pressure
  • Have good communication skills and a team player
  • Knowledge of Microsoft Excel, Words, PowerPoint and Outlook.
  • Excellent communication and interpersonal skills
  • IT Savvy and are familiar with SAP and Excel
 
*Casual staff are those hired to assist in ad-hoc events and are not guaranteed to get regular work.
